Agreement/Policies

SCOPE OF WORK

The Service Provider will offer accommodation and conferencing services, as well as provide food and beverages and other additional activities upon request from the Client that both parties will agree upon.

TERMS OF AGREEMENT

Royal Institute for Training & Human Capital Development may terminate a contract on ten (10) days’ notice for the failure of the Client to comply with the terms and conditions of this Contract. In addition, Royal Institute may terminate the contract at any time, without cause, on thirty (30) days’ written notice. The Royal Institute reserves the right to increase prices at any time, with a minimum of 2 weeks´ notice to the client.

TERMS AND CONDITIONS

1. RESERVATION AND CONFIRMATION

  • To confirm your reservation, a down payment of 60% of the total amount due is required at the time of booking. The remaining 40% can be paid upon checkout.
  • Down payments must be made within 1 week of the booking date.
  • A Purchase Order confirming the reservation is also required to guarantee the venue. Your booking will only be confirmed upon receipt of both the down payment and the Purchase Order.
  • If the confirmation is not obtained within the specified time, the hotel reserves the right to rent the event space to another customer.

2. PAYMENT DETAILS:

All charges related to the event are to be settled either by cash, credit card or electronic funds transfer before the date of the event in accordance with the Client’s credit facility terms and conditions approved by Royal Institute for training & Human Capital Development.

3. SERVICE CHARGE/TAXES:

All charges on the group bill are subject to a 10% service charge and a 7.5% value-added tax (VAT). Organizations that are exempted from the VAT should provide evidence.

4. MODIFICATIONS

  • 1-2 Weeks Before the Event: Shall the guest reduce the number of rooms or halls made on the reservation 1-2 weeks before the event, a penalty of 25% of the cost of the reduced items will be applicable.
  • 2-4 Weeks Before the Event: Shall the guest reduce the number of rooms or halls made on the reservation 2-4 weeks before the event, a penalty of 15% of the cost of the reduced items will be applicable.
  • More Than 4 Weeks Before the Event: Shall the guest reduce the number of rooms or halls made on the reservation more than 4 weeks before the event date, there will be no penalties.
  • Within 48-72 Hours of the Event: Modifications on reservations within 48-72 hours until the event day are not applicable.

5. CANCELLATION POLICY:

Cancellations are subject to penalties as follows:

  • 10% of the total bill will be charged for cancellations made 2 months and above before the event date.
  • 25% of the total bill will be charged for cancellations made 2 weeks – 1 month before the event date
  • 40% of the total bill will be charged for cancellations made less than 2 weeks before the event date.

6. RESCHEDULE POLICY

  • If the customer wishes to reschedule their booking within 2 weeks before the event, a penalty of 25% of the total bill will apply. However, if the Royal Institute secures another booking to replace the original date, the penalty will be reduced to 15% of total bill.
  • If the customer wishes to reschedule their booking between 2 weeks – 1 month before the event, a penalty of 15% of the total bill will apply. However, if the Royal Institute secures another booking to replace the original date, the penalty will be reduced to 5% of total bill.

7. EXTRA ITEMS

The Hotel is the exclusive provider of food and beverage services for all events held on its premises. If the Client wishes to bring any items into the Hotel (such as decorations, music, equipment, etc.), a notice must be sent to the Hotel’s contact person at least 3 days before the event. No items may be hung or affixed to the walls or ceiling of the venue without the consent of the service provider. Additionally, any damage to the property caused by such items or equipment will result in additional fees charged to the Client.

8. GENERAL RULES:

  1. Check-in time is at 02:00 pm, and Check-out time is at 12:00 pm.
  2. Music and parties are not permitted at the pool area.
  3. Zuma Rock Resort rooms are non-smoking, and a fine will be added to the guest’s bill for smoking in the room.
  4. Extra room service charges are the responsibility of each individual and must be paid upon check-out.

9. LOSS OR DAMAGE TO GUEST PROPERTY

The Hotel uses CCTV and appropriate security measures to address the security purposes. However, any items brought into the Hotel, all car parks, or grounds, including valuables and equipment, are at the Client’s own risk. The Hotel is not responsible for any damage, loss or theft of property belonging to guests or anyone associated with the guest’s event or stay, whether the items are left before, during, or after the event.

10. CAR PARKS

The Service Provider will offer designated car park areas for the convenience of clients and their guests. The use of these car parks is subject to availability and will be allocated on a first-come, first-served basis. The car parks are monitored by CCTV cameras and security personnel to ensure safety. However, the Service Provider is not responsible for any loss or damage to vehicles or their contents while parked on the premises. Clients are expected to follow all posted signage and guidelines within the car park area. The Service Provider reserves the right to modify car park policies as needed and will notify clients of any changes in advance.

11. NON-DISCRIMINATION.

The Client guarantees that, during the performance of this Contract, neither the Client nor any of its employees, agents, or subcontractors will violate any applicable discrimination laws towards any staff of the Royal Institute. This includes, but is not limited to, discrimination based on age, gender, race, color, religious belief, national origin, marital status, disability, or status as a disabled veteran.

12. FORCE MAJEURE.

Neither party will be responsible or liable to the other party for nonperformance or delay in performance of any terms or conditions of this Agreement due to acts or occurrences beyond the control of the nonperforming or delayed party, including, but not limited to, acts of God, acts of government, terrorism, wars, riots, strikes or other labor disputes, shortages of labor or materials, fires, and floods, provided the nonperforming or delayed party provides the other party with written notice of the existence of and the reason for such nonperformance or delay.

13. DISPUTES

This Contract shall be governed by the laws of Niger State, Nigeria. Each Party agrees to submit to the exclusive jurisdiction of the courts located within Niger State, Nigeria, for any legal proceedings arising under or related to this Contract. In the event of any dispute or controversy, or the need for any ruling or legal determination under this Contract, both parties agree to waive their rights to a trial by jury. However, the parties shall first attempt to resolve all disputes through informal means. Before resorting to litigation, each party agrees to confer with the other party to explore less expensive or time-consuming procedures for resolving the dispute.

14. GENERAL

This Contract constitutes the full agreement between the parties regarding the matters discussed herein. Any modifications to this Contract must be written and signed by both the Client and the Service Provider.

15. USE OF PARTY’S NAME

Neither party shall use the names of the other party, its affiliates, contractors, staff members, faculty members, students, or employees directly or indirectly, nor any abbreviations thereof, in connection with any products, publicity, promotion, financing, advertising, or other public disclosure without prior written permission from the other party.

19. AGREEMENT ACKNOWLEDGEMENT

By signing below, the Client acknowledges that they have read, understood, and agree to the terms and conditions outlined in this agreement.
